Partners in life and partners in business, there was not a hint of a doubt for Jeff and Adam that they belong together – and so getting married was just the logical next step. Easy? Well, yes – somehow. What the two found out pretty quickly is that there is a big difference between the idea and its actual execution… and that’s where my company, A Day Like No Other – Wedding Coordination and Design, comes in.

Jeff and Adam had pretty clear-cut ideas of how they wanted their wedding to look and to feel. Being the super busy businessmen that they are, the one thing most precious in their lives is – quality time, together, and together with their families. So they were envisioning a long wedding weekend with their families, in complete privacy and tranquillity, with fabulous food and wine. They found their dream venue at the far end of beautiful Carmel Valley – Mesa del Sol Vineyards, a private estate among rolling hills and verdant vineyards, with a beautifully restored luxury farmhouse big enough for their families, with a courtyard shaded by mature trees, a professional outdoor BBQ, a bocce ball court, a swimming pool… heaven!

Jeff_Adam_October_11_2014_0010 copyJeff and Adam had rented the property from Thursday to Monday, and they had already planned for a whole succession of family events … but with their busy schedules of (separate!) worldwide traveling there was simply no way they could do all the planning by themselves. And that’s how my team came to work with one of our favorite couples ever!

We helped Jeff and Adam finalize their plans from a welcome BBQ to wedding day to a send-off brunch, and the two even knew who would cook up a veritable storm for them and their guests: their personal friend, caterer Ben Lillywhite, who would move in with them and take over the state-of-the art kitchen to pamper their 45+ guests.

Speaking of guests… while Mesa del Sol is beautifully equipped, it’s not equipped for that many guests! From ceremony seating under a huge old olive tree (hay bales from a local feed store, hand-woven saddle blankets) to long farm tables for an outdoor dinner (Chic Party Rentals)…

Your Personal Wedding Ceremony Planner – by A Day Like No Other!

Congratulations – you are engaged! And you are beginning that whirlwind called “wedding planning.” Venues, caterers, florists, DJs… and then thousand other things. Believe it or not, the planning of the ceremony is rather a “second thought” for many couples. BUT… it’s at the core of the whole celebration – it’s the reason for the party! It’s the moment when you two are committing the rest of your lives to one another. So better focus on it right away!

rings copy And since it’s such an important moment in both your lives, the person sealing your bond, your officiant, should be someone you trust, cherish, admire, or have been a friend with for a long time.

The first and most important decision you have to make is whether you want a religious or non-religious ceremony. Both the Catholic and Protestant Church require the ceremony to take place in a house of worship; Jewish ceremonies may also take place outside a synagogue (at your reception venue, for instance). If you wish to get married in a Church of your faith, you will probably contact your parish or ask your parish priest to be your officiant at a different church; but in any case, you’ll follow the framework that applies within your religious community. You may choose one ceremony with a priest of each religion present, or two separate ceremonies (only one will then be legally binding by the signing of the marriage certificate). In many cases, premarital religious instruction is required, especially in the case of an interfaith marriage, and in some cases a Church ceremony even requires that the partner who is not member of this specific religious group needs to convert and become a member first, a process that can easily take up to a year. So better check this out, first thing!

Your other option is to have a civil ceremony – and here the options are nearly limitless. To clarify: “civil” does not mean “non-religious;” it only means “not recognized as binding by an established Church.” You can have a non-religious, simple courthouse ceremony, or you can have a spiritual ceremony, even a ceremony following the Catholic rite, just not inside a Catholic Church, without the strict regulations, and consequently not recognized by the Roman Catholic Church (the White-Robed Monks of St. Benedict, for example, are monks following Catholic beliefs who will perform a Catholic wedding mass for you, anywhere you choose… it will be a legally binding marriage, but not one recognized by the Roman Catholic Church). If you do not wish to be married by an ordained minister, even outside a house of worship, most judges or justices of the peace can officiate; and if you’d rather have a trusted friend or relative be your officiant, this person can become deputized for just this one day (at a very moderate cost, by the way). Or you may have observed an officiant at a wedding you attended and liked the way he or she conducted the ceremony – by all means, ask for referrals!
Sounds quite complicated, right? If you have a wedding planner (always recommended… after all, I am one myself!), he or she can help you find exactly the right solution AND the right person.
Once you have narrowed down your choices, I recommend that you meet each of the “possibles” with enough time to get a good impression of what this person is like and whether you feel well understood with your specific wishes and in your personal situation, and appreciated as persons. Ask about the way this person would conduct your ceremony or wedding mass, whether you can write your own vows, include rituals that are meaningful to you, readings by persons close to your heart; in short, find out what it would be like to be married by this person. Take your time; don’t rush it. No one can make that decision for you – this is intensely personal, and you’ll have to follow your heart here.

Your chosen officiant may recommend premarital counseling (many actually offer this service) – and you should seriously consider this option. I assume your first reaction will be – “WHY??” The two of you are deeply in love, committed to one another – what is there to counsel? Well, of course you are right… but the sad reality is that about half of all marriages in the US fail and end in divorce, and it is safe to assume that all these couples were equally deeply in love when they said their vows, and still… and because this is so and because you do not want this to happen to you, it’s a good idea to at least consider premarital counseling.
A bit of etiquette – depending on how close you are with your officiant, it would be a nice gesture to invite him or her to the Rehearsal Dinner and to the Reception. In many cases, officiants will politely excuse themselves due to “other commitments,” but it’s at least a nice gesture to offer it. And if they accept, they get a seat at one of the parents’ tables or other position for honored guests. If your officiant is a parish priest, a donation toward the Church is appropriate, and if he/she is not affiliated with a specific Church, you should show your appreciation with a personal gift.

With your officiant and ceremony venue in place – whatever you choose – it’s time to think about your vows. Of course you can always follow the standard “I Do’s” – nothing wrong with that – but if you’d rather express your own unique and personal feelings, you have to put these in words, and, believe me, that’s not easy! Take your time for that. A good starting point is to write a love letter to your partner; leave it in your drawer for at least 24 hours, and then read what you wrote. That will be the essence of what to say in your vows.

More details to think of: would you like to include readings in your ceremony? A favorite poem? Or maybe a favorite song or instrumental interlude? (And who would play or sing?) Would you like to include symbolic rites, like hand washing, ring warming, a sand ceremony, pouring wine ceremony, candle-lighting ceremony? There are so many ways to include your loved ones and even all of your guests and make them a real part of your ceremony and your union… just give it some thought!

Small Business Marketing Gone Glam: WIPA at the Shattuck Plaza in Berkeley

As the Regional Director of Programs at WIPA, Wedding Industry Professionals Association, I have the pleasure (and the obligation…) to organize four festive events throughout the year, and we just concluded the year of 2014 on a really high note: with an elegant luncheon in the Crystal Ballroom of Berkeley’s storied Shattuck Plaza Hotel.

As did the elegant decor to match the extraordinary character of the Crystal Ballroom – walls covered in bold black-and-white stripes and adorned with oversized mirrored panels, reminding me of a huge conservatory. With that, the decor idea was born: we decorated with huge palm trees (courtesy of Interior Plant Design) and hedges (from Stuart Rental Company) and added to these charming firefly lights (from Firefly Magic). Centerpieces and smaller arrangements (from Katharina Stuart Floral Art and Design) throughout picked up the “green and white/modern conservatory” theme beautifully…

And then we had a fabulous lunch… and the much-anticipated prize drawing (probably the biggest one in WIPA history!) with chalkboard art (from Steele My Heart) and fused-glass “sun catchers” (from Pat Gibbons) for the home, a wine gift (from Wente Vineyards), a big box of top-of-the-line skincare from my favorite Kiehl’s store at the San Mateo Hillsdale Mall, an elegant bridal headpiece (from Poppyhearts) and beautiful parasols for weddings (by Parasols by Design). There were also coveted “Travel and Leisure” prizes: a “Vine to Wine” experience (at Holman Ranch), a Foursome of Golf (at The Bridges Golf Club), and a stay for two at Purple Orchid Wine Country Resort and Spa, and at two five-star resorts: Cavallo Point and Four Seasons San Francisco. All of our guests decidedly enjoyed this type of lunch entertainment!

But our event was far from over: it concluded with coffee and dessert in our elegant dessert lounge …

The Perfect Performance: Marissa’s and Jordan’s Wedding at Studio Trilogy

What’s the most unusual, most hip and chic wedding venue you’ve ever been to? I bet you’ve never been to a wedding at a professional recording studio!

Well, I was the lucky one! When Marissa and Jordan approached my company, A Day Like No Other, for help with their wedding coordination, they had already booked Studio Trilogy in San Francisco – a professional recording studio with a long list of illustrious clients, among others Willie Nelson, and every free spot on the walls adorned with photos of pop and rock luminaries “in action.”

To my great surprise, Studio Trilogy offers much more than the recording studios themselves – there is a dramatic double-height Great Room with exposed wood beams and a fireplace, a cozy media room, a secret room hidden behind a movable built-in shelf, a gallery, a bridal preparation area complete with a separate bathroom, a patio, two kitchens… in short, a spacious, chic venue with all the bells and whistles!

The couple had made sure there were many personal touches and a lot of consideration for guests throughout: arriving guests left their cars with California Valet Parking (no hassles with that) and, instead of signing a guest book, took Polaroid snapshots and clipped them to wire frames in the foyer.

Speaking of photos – the guests got to see a lot of those! The built-in library shelves of the Great Room had been filled with at least a hundred family and couples’ photos, interspersed with as many candles…

Embroidered handkerchiefs “for your happy tears” and yarmulkes (the traditional Jewish skullcaps) were set out for the guests..

For her great day, the bride had chosen an exquisite lace Empire dress with a crystal-encrusted sash and straps …

…and  an artfully “undone” updo. The proud Mother of the Bride placed the veil herself on her daughter.

Marissa’s good friend Jo Newman was the hair and makeup artist for the day for bride, mothers, and bridesmaids, and all looked equally radiant! Another good friend, acclaimed wedding, portrait and lifestyle photographer Laurie Smith, had come all the way from Los Angeles to capture every precious moment of  her friends’ wedding.

For the ceremony, Marissa’s Dad had handcrafted a Chuppah …

The ceremony was officiated by the brother of the groom, with parents, closest family members and a good hundred friends surrounding the Chuppah. The star of the day? Ringbearer dog Max! Here he is, front and center, sporting a white bow tie and cuffs, in the official wedding photo:

He really did a good job, assisted by two more ring bearers, Avi and Mikayla.

DSC_3000… and traditional Jewish music by the Stanford Klezmer Band who went on to intonate the time-honored melody of Hava Nagila for the mandatory Hora Dance – and the crowd exuberantly danced along and lifted the newlyweds high up on chairs.

DSC_3502The party got off to a great and joyful start – and did not stop ever that night! There were, of course, toasts and speeches from so many loved ones, and then the dancing and dining resumed. For the “dance party” of the night, the couple had enlisted a fantastic band, “Love Fool.”

DSC_4869They kept the crowd going – on and on – clapping, stomping and singing along. And – did I mention the candy bar?

It was supplemented by decorated wedding cookies and cake pops in four flavors (a labor of love by Marissa’s Mom) and Jordan’s favorite  ice cream sandwiches: “It’s It,” a local SF specialty. To-go bags invited guests to take candy home as their wedding favors, and many rediscovered their “sweet tooth!”

What a wonderful day… and that is why both I and my tireless assistant Kelsey love our jobs so much!

Craig and Mike – Just Married! An Intimate Celebration at the Historic Forest Hill Clubhouse

It had been a long time in coming. Two decades, actually. Half a life spent together, in deep commitment to one another. Craig and Mike are inseparable, always have been.

When I first met them, two soigné gentlemen seeking out a venue for an intimate celebration, I had no idea what they were up to … and then they told me that finally they’d be taking the plunge and get married, and that the historic, cozy Forest Hill Clubhouse looked just right for that occasion.

Clubhouse They asked my company, A Day Like No Other, to help plan and coordinate it all, and last Saturday, finally, was the Great Day.

With my assistant Angeliki coordinating, everything went exactly as planned, and the day became a veritable lovefest for the two and their closest friends and family members. And more than that – there was good food and wine and a lot of laughter! Who would have thought those two had such a mischievous streak?!

A Touch of Tuscany in Napa Valley: Laura and Dennis


Laura and Dennis originally approached my company, A Day Like No Other, with the request to help them find a venue in the Wine Country for an intimate wedding with closest family only… and then, later, maybe to help organize a party for everyone else at their home. After brainstorming with them – hotels? wineries? all too impersonal, too public… – I knew the exact right place for them: Sylvan Lake, a secluded private estate tucked away in the mountains above St. Helena. Off they went for a site visit! And on their way back home that same day, they texted me: “Change of plans! So beautiful that we’ll have a big party for everyone right there!”

And so we started planning together: an outdoor ceremony onsite, good food and wine, an Italian/Tuscan theme, and sage green with pops of orange for their wedding colors. Last Saturday, it all came together on a glorious summer day, warm with a slight breeze, and  under a cloudless blue sky.

A Magical Night Under the Redwoods: Amy and John at Saratoga Springs

Amy’s and John’s marriage actually started – in heaven! How? They met on a plane! And this fateful encounter set the tone for their relationship: long-distance – for the longest time. Until John’s career brought him to the San Francisco Bay Area, and that is when the two decided that enough (separation, that is) is enough. Amy moved in with John, took a much-needed “breather” in her own career, and used the precious free time to plan their wedding. And I am so happy she brought my company, A Day Like No Other, on board to help with ideas and logistics.

The two had opted for a strictly outdoors celebration in the Redwoods – at Saratoga Springs – and Amy dreamed up an upscale “shabby chic” decor with vintage furniture out on the lawn, like a cozy, yet elegant living room under the stars – and under miles and miles of romantic string lights.

…for Amy and her bridesmaids, the day began with  Hair and Makeup by Su from Nabi Salon; once that was done, the bride slipped into her elegant ivory dress, fit for a silver screen goddess from the Forties:

A shuttle from The Santa Cruz Experience (the company provided transportation throughout) then took the whole wedding party to Saratoga Springs, where onsite coordinators Mimi and Kelsey with their team and I were busy setting up all the beautiful decor Amy and I had dreamt up over months!

Escort cards: airline boarding passes, of course! And table names? International airports … and all that displayed in custom-cut rustic logs by Fernando Canales ([email protected]). This setup was an instant crowd-pleaser and conversation starter!

For Cocktail Hour, Amy had ordered three vignettes of vintage and antique furniture from One True Love Vintage Rentals, and we displayed the couple’s favorite family photos there together with pretty vintage items, candles and bunches of flowers.

In lieu of a traditional wedding cake, Amy and John invited guests to a delicious dessert buffet stocked and re-stocked with “bundtinis” (mini Bundt cakes, by Nothing Bundt Cakes) and super fresh pies from Beckmann’s Bakery. Many reasons to raise a glass tonight!

Then it was time for the First Dance:

 When night fell, the scene turned absolutely magical under the lights by Bay Area Event Lights

Hora Dance… and DJ “Sir Dancealot” got the crowd going – just have a look! At the exuberant Hora Dance, the couple was lifted high up on chairs by the dancing crowd, and Amy said that she and John had the time of their lives. And that’s my biggest reward!

Family Fun on the Ranch: Pam’s and John’s Wedding on Mt. Diablo

After seven years together and a full year of planning and do-it-yourself projects, Pam’s and John’s dream finally came true: Wedding Day! I am so happy they allowed my company, A Day Like No Other, to accompany their journey from first ideas to ceremony and celebration, from preliminary sketches to planning memos and vendor sourcing to final timelines.

From our very first planning and brainstorming session on, one thing was clear: this wedding would be a big fun affair. Both Pam and John are fun-loving, quirky personalities who don’t care a bit for convention, but very much for their families – all just as upbeat and fun-loving as they themselves. There would be lots of kids in the wedding, and of course their own “baby” (or rather: fur baby) Cody. So what emerged was the idea of a carnival-themed wedding on a dog-friendly farm. Now, that’s definitely not your “run-of-the-mill wedding!” Far from it… what else? Lots of DIY projects – hand-crocheted boxes, centerpiece decor, and even little birdies for the wedding cake. Handmade paper flowers for the centerpieces. A color scheme of nostalgically muted, slightly faded pastel colors, mainly mint and peach and a dusty rose. And no conventional catering, please!

As promised, food and drink were “off the beaten path” as well: since “Life is short – eat dessert first!” guests (as well as the newlyweds, of course!) were first treated to yummy ice cream from the Garden Creamery ice cream truck!

Dining tables by the pool were decorated with centerpieces (of course!) handmade by the bride: pastel-colored jars filled with paper flowers crafted from coffee filter paper… a true labor of love!

Everyone simply had a blast – kids and grown-ups alike! Everything was captured on video by Luke and Pamela Goodman – like the cutting of the cake (and cupcakes by Cupkates):

The Beauty of Art and Nature: Alan’s and Miles’ Wedding at the Monterey Aquarium

This weekend, my company, A Day Like No Other, had the pleasure and the honor to coordinate a really extraordinary wedding – a wedding of two artists, in one of the most spectacular venues imaginable: the Monterey Bay Aquarium. And what a celebration that was!

It meant a lot to them, that’s for sure. Alan had admittedly nearly given up hopes to find his soul mate one day… but as we all know (or at least hope…) miracles still happen. And in this case, the miracle was Miles, and it was love at first sight. They complement each other perfectly. One is quirky and super-energetic, and the other is calm and keeps him grounded; and they deeply care about each other. After four years together, they were both sure that they were, indeed, meant for one another.

Alan and Miles, the grooms, are both incredibly creative (Alan is a graphic artist and designer, and Miles has a degree in Fine Arts), and so they wanted a visually compelling surrounding for their Great Day, AND they absolutely insisted on creating most of the decor themselves. Leave it to the artists!

shoesThey came up with a color scheme in hues of lavender and purple which they carried through from the bridesmaids’ dresses and groomsmen’s shirts and neckties and to the flowers – which Alan handcrafted himself! Each of them a little work of art – he made his own bouquet (a giant rose)

Here  is Alan with his “grooms maid” Lisa:

Alan LisaHidden behind Lisa’s bouquet is her gift from the grooms: a golden filigree pendant in the shape of their initials, designed – of course! – by the grooms themselves for all members of their bridal party.

Which was as unusual as nearly everything about this wedding: defying any rules and traditions, the grooms had picked a “Best Woman” and a “Grooms Maid,” along with more traditional roles – and they had a super-cute ring bearer (dressed up in a miniature version of the grooms’ suits!) and flower girl:

Their ceremony under the “fish dome” was officiated by Miles’ Godmother Gail who has played an integral role in his life since his childhood – and so their ceremony was a deeply personal one.

ceremonyWhen it came to the vows, Alan surprised Miles with something literally “unheard of:” he expressed his feelings in a song. In his beautiful, mellow, professionally trained tenor voice, he sang the lyrics to the melody of Eva Cassidy’s “Songbird:”

For you/the sun will be shining/’cause I feel that when I’m with you…

To you/I would give the world…

And I love you, I love you, I love you…

interspersed with everything else he wanted to say and promise to Miles. Needless to say, we all had moist eyes… So beautiful!

The eighty guests – handpicked closest friends and family members, every single one a trusted companion in the grooms’ lives – formed a spontaneous receiving line after the ceremony – and then proceeded to a delicious dinner (by in-house 886 Catering) in front of the huge shark tank. A truly spectacular setting!

After that, the dance floor was open to everyone, and DJ Collin from DNA Entertainment kept the crowd going!

Before they left, guests signed a very unusual “guest book” (well, nothing was “usual” at this wedding!) – a double portrait of the couple, painted by Miles:

Why Would I Need a Wedding Planner?!

Good question, dear brides-to-be!

And since I happen to be a wedding coordinator and designer (my company is A Day Like No Other), I also happen to have a few answers for you.

Your wedding is a one-in-a-lifetime event, your celebration of your commitment to the person you are going to share your life with.

It should be the best day in your life, in the truest sense of the word.

And you, the couple, should be able to enjoy every moment and cherish these memories forever.

The average wedding can take more than 250 hours to plan. With today’s hectic lifestyles, most couples do not have that amount of time to research venues and vendors, compare the options, and make sure all details are taken care of.

A wedding coordinator saves you valuable time and money (yes, money!). The coordinator will not make decisions for you, but will pre-select your options, take advantage of discounts not available to private parties and avoid costly mistakes. And on your wedding day, your coordinator shoulders the responsibility for a smooth event flow, keeps to the timeline, quietly solves problems big and small “behind the scenes” and ensures that you, the couple, can indeed simply enjoy your great day.

CHOOSING YOUR WEDDING COORDINATOR

In my opinion, the most important qualities you should be looking for in your coordinator are a degree from a wedding coordinator school, experience, membership in professional organizations, and a personality matching your own.

Why is that? You need someone with a solid understanding of the art of wedding planning, and a degree from a reputable school guarantees that amount of extensive training. You want your coordinator to run your event like a well-oiled machinery; the more often he or she has done that before, the better for you. Membership in a leading professional organization demands adherence to highest professional and ethical standards – your coordinator has proven to be trustworthy and good at the job. (Since I am an active member in both ACPWC and WIPA, I know that for a fact). Inquire whether you’d be working with the same person throughout, and what this person’s average response time is – it can make your life difficult if you have to explain your questions to a different associate every time, or if you have to wait for several days until you get your answers… And for the rest, let your heart speak! Your coordinator will become part of your life for months, maybe a year. He or she should be like a trusted friend and confidant. Only you can feel who among your selection of “finalists” will fill that role. I feel so blessed that at my weddings this relationship has always worked out … and here’s my reward at the end of the evening: it was the best day of their lives! (see “Praise!”)

DO WE REALLY NEED AN INDEPENDENT WEDDING PLANNER? WE ALREADY HAVE OUR (ONSITE COORDINATOR/FLORIST/ CATERER…)

Many couples are wondering what the differences are. So many vendors claim that they can act as wedding planners in addition to the services they offer and they are hired for.

BUT… that’s often only part of the truth. While some floral design companies and catering businesses do, indeed, offer full-service wedding planning (at an extra fee, of course), most of this “free wedding planning” is a far cry from what an independent coordinator will do for you.

An onsite coordinator, be it for your ceremony or for your reception venue, will plan and coordinate exactly that part of your celebration and nothing else. Who helps you stay on time and on budget during the planning stages, making sure no detail is overlooked? Not your onsite coordinator…

Your florist might be a gifted designer in his or her medium, but who is going to design your décor scheme to a cohesive whole, from linens to china, lighting and escort cards? Let alone doing any planning along the way…  Your caterer is certainly a fantastic chef, but don’t expect him or her to find you the right DJ or band – and so it goes.

You, the couple, are probably specialized in your professions, hard-working and good at what you do. You certainly appreciate the value of a specialist in a different field – wedding coordination and design. You would not even think of conducting a lawsuit without the help of a lawyer, or a house construction without the help of an architect. Your wedding day is of equal importance and deserves the same level of attention by a trained specialist. Entrust it to a trained professional.

DESIGN-WISE WE ARE TOTALLY OVERWHELMED WITH SO MANY IDEAS AND POSSIBILITIES. WE REALLY DON’T KNOW WHERE TO START.

In the era of the Internet, dozens of glossy wedding magazines and Pinterest, it’s easy to get overwhelmed! Sometimes there is, indeed, too much of a good thing. Let a specialized wedding designer  help you sort through all your various ideas. Some will be very close to your hearts, others not so much; some can be combined, and others can maybe play a role in the design of the Rehearsal Dinner – or bachelorette party, or bachelor party, bridesmaids’ breakfast, bridal shower… you get it. There is so much going on before and around your wedding that many of your great ideas and inspirations can find a home in one of these events if they don’t make the final cut for wedding décor. A wedding designer can definitely guide you from this first stage of vague inspirations to a distinct décor plan for each of your festivities. Here is one recent example: my bride Erica, an amateur astronomer… starstruck! Here’s what we came up with:
